Executive Secretary to the Chairperson

The Position

  • Provide comprehensive, confidential, and proactive secretarial support to the Board Chairperson
  • Manage complex calendar, scheduling, and prioritisation of meetings, events, and travel arrangements
  • Prepare and coordinate meeting agendas, briefing materials, speeches, and correspondence
  • Act as key liaison between the Chairperson and internal/external stakeholders, including government officials, board members, partners, and senior executives
  • Draft, review and manage correspondence, speeches, and presentationmaterials
  • Ensure consistency and professionalism in communications on behalf of the Chairperson
  • Coordinate logistics and protocol arrangements for VIP engagements, official functions, and high-level visits
  • Maintain proper filing systems and ensure accurate and timely documentation
  • Handle sensitive and confidential information with utmost discretion
  • Perform ad hoc duties, projects, and other assignments as required

The Candidate

  • Bachelor's degree in Business Administration, Communications or other related discipline
  • 5 to 8 years of work experience, preferably supporting senior executives or C-suite leadership within a sizeable organization or MNC 
  • Strong organisational, time management, and multitasking abilities, with the capacity to manage competing priorities under pressure
  • Demonstrated integrity, accountability, and professionalism, with excellent judgement in handling confidential matters
  • Proactive, detail-oriented, and able to anticipate needs and priorities with minimal supervision
  • Strong stakeholder management and communication skills, with the ability to engage effectively with individuals at all levels
  • Positive, committed, and flexible working attitude; able to work Independently and collaboratively as a team player
  • Excellent command of written and spoken English and Chinese, including Putonghua
  • Candidates with lower qualifications but more relevant work experience will also be considered.
